Logos, company profile and web/social accounts
As part of your conference sponsor package, your logo will be listed on the UUK event webpage with a link to your website, as well as on conference materials/delegate guide on the day of the event.
- Please send us a copy of your company logo in full colour and a white/negative version in as high resolution as possible.
- Please provide us with a web address you would like us to direct traffic to.
- Please provide us with any social network links.
- Please provide us with a company profile (max. 150 words) for inclusion in the conference materials.
Your Delegates
Part of your package includes delegate places. We need the information below for each delegate.
- Full name
- Job title
- Organisation
- Email address
- Any access or dietary requirements
Please send this information by 14 August 2025.
Please note, additional delegates above your contracted amount will be charged at standard conference rate.
Stand Information
Your exhibition stand space is roughly 3m wide by 2m deep, and includes a 80cm x 160cm table, plain tablecloth, two chairs and access to power. There is Wi-Fi available throughout the venue, and if you would like to request any additional furniture e.g. chairs or to hire a display screen, please let us know.
If you are bringing anything extra that may not fit within this space, please contact Magda and Jacob, [email protected].
Your booth will be situated in the refreshment area where all breaks will be held. If you have access to Day 1, your stand should be set up and ready for 9:20am in time for delegates’ arrival at 9:30am, and for Day 2, your stand should be set up and ready for 08:00. Please confirm in advance what your approximate arrival time will be, and who we can expect to be manning the booth.
You may set up your stand the day before, e.g. Day 1 attendees can set up their stand any time on the 8th September. Day 2 attendees can set up their stand any time after 17:00 on 9th September.
Delivery Information
If you plan on sending anything to the venue prior to the event day, please let us know by 21 August 2026 with what to expect and when so we can ensure its safe arrival.
Delivery address
NTU Events and Conferencing
30 Burton Street
Nottingham
NG1 4BU
Add to notes: Deliver via the Loading Bay - South Sherwood Street
Documents to download
- Exhibitor code of practice (NTU, City Campus) — read this in full
- Delivery label — use for all advance deliveries
- Loading bay location — map and directions to South Sherwood Street
If anything here is unclear, or you are unsure whether something applies to you, contact the UUK events team before the event rather than raising it on the day.
Advance deliveries via DPD/Royal Mail/etc.
Send stand materials to the venue ahead of the conference wherever possible.
- Deliveries can arrive no earlier than 48 hours before the event, so from Monday 7 September
- Deliveries are accepted weekdays only, between 08:30 and 17:30
- All goods must go to the loading bay on South Sherwood Street, not to reception.
Every package must carry the delivery label (above), completed with your name and organisation, and numbered (package 1 of 3, and so on). Download it above.
Goods lift restrictions. There is a goods lift just inside the loading bay. It is 1000mm wide by 1470mm deep, open topped, with a 1 tonne weight limit. Anything on a pallet must be on a standard Euro-pallet, as larger pallets will not fit in the lift. Tell us in advance if you have an item that will not fit within these dimensions.
Deliveries via Private Courier/Self Delivered
Your load-in slot. The loading bay is small and congests quickly, so UUK will issue a staggered load-in schedule with a time slot for each exhibitor. Slots are 20 minutes, which is enough to offload. Please arrive for your slot rather than earlier, and let us know as soon as possible if you cannot make it.
Vehicles. The loading bay is a restricted area. Vehicles must be moved as soon as you have unloaded. Take your goods to your stand space, then return your vehicle to one of the car parks listed below.
Handling. Exhibitors unload and move their own goods. NTU Events and Conferencing staff do not handle exhibitor materials.
Keeping the space clear. All exhibits must stay within the footprint of your stand space. Passageways, stairways and fire exits must be kept clear at all times, and all packaging must be removed rather than stacked behind stands. Demonstrations must not obstruct circulation routes.
PPE. If you are bringing contractors or suppliers, it is your responsibility to make sure they have suitable personal protective equipment.
Parking
There is no parking at the venue. The nearest car parks are below. Height restrictions matter if you are arriving in a van.
Discount. NTU can provide a voucher on the day of the event giving 45% off the price at Talbot Street. Please email the UUK team to ask for a voucher.
Further city centre car parks are listed on the Nottingham City Council website.
Breakdown and collection
- Take everything with you, including empty boxes, packaging and leftover print
- When dismantling, bring all items down to the loading bay door before you collect your vehicle
- Courier collections must be from the loading bay, not reception. Label every package clearly with the delivery address, a contact name and the number of parcels in the consignment
- Collections must be made within 24 hours of the conference finishing
- NTU cannot take responsibility for items that are not clearly marked as ready for collection
- Anything left uncollected may be disposed of after seven working days. Items left without prior authority will be treated as abandoned
Questions?
Contact the UUK events team at [email protected]. Please come to us rather than contacting NTU directly, so we can keep track of requirements across all exhibitors.
